Operations

Work depends on memory, paper, and whoever is in the room. We replace that with systems the whole team can run.

What we build

The systems behind the work

  • Operating rhythm. A weekly and monthly rhythm of meetings and reports, with reporting to ownership.
  • Digital documentation. A cutover from paper to digital records, with a coaching period before the new standard is enforced.
  • Licensing and renewals. One place that tracks every license, certification and renewal date, so nothing lapses because someone forgot.
  • Audit readiness. Records and routines kept in order all year, not assembled the week before an audit.
  • Vendors and contracts. A current list of vendors and contracts, with owners, terms and renewal dates.
  • Onboarding and offboarding. Checklists for people joining and leaving, including granting and removing system access.
  • Client intake. A defined pipeline for new clients, from first contact to the start of service.
  • New sites and markets. A repeatable playbook for opening new sites or locations, plus a market-entry checklist.
How it is measured

Every measure has an owner

We set up an operating KPI framework. Every measure has an owner, a data source, a cadence, and a target, so everyone knows who reports it, where the number comes from, how often it is checked, and what good looks like.

Each workstream also has a written Definition of Done. When it is met, the work is finished. When it is not, everyone can see what is left.

We will walk through how the work runs today and where the risk is.
